General

The booking contract is between the hirer and the owner of the property for which the booking is made and incorporates the conditions set out below. The price includes accommodation as specified, use of utilities including pool heating, but NOT flights, car hire, holiday insurance etc.

Authority to sign

The person who signs the booking form certifies that he or she is authorized to agree to Booking Conditions on behalf of all persons included on the Booking Form.The signatory must be a member of the party occupying the property and must be 21 years or over.

Deposit and Full Payment Policy

A non-refundable deposit of 30% must accompany the signed booking sheet. The balance of payment (70%) must be received in full at least 10 weeks prior to the commencement of the holiday. If the booking is made within 10 weeks of the commencement date then full payment must accompany the booking. We reserve the right to cancel the booking if the payments are not received by the due date; cancellation charges will apply as set out in the next section.

Cancellation by you

Cancellations result in costly charges from travel and hotel providers, including fees and penalties associated with the cancellation of confirmed hotel rooms. Therefore, the following cancellation fees apply:

45 days or more before departure will be subject to a 500 Euro per person cancellation fee

- 44 -30 days before departure will be subject to a cancellation fee equal to 50% of the customized trip price

- 29-0 days before departure will be subject to a cancellation fee equal to 100% of the customized trip price

VIP Greek Villas reserves the right to cancel a confirmed booking and refund only the appropriate portion of the deposit if full payment is not provided in accordance with our deposit and full payment policy.

An additional 200 Euro non-refundable fee applies for implementing itinerary changes requested by VIP Greek Villas guests after the customized trip itinerary has been finalized and confirmed by both VIP Greek Villas and its guests, in addition to any inherent cost resulting from such requested changes.

Refundable Security Deposit

Upon signing the rental agreement the signatory agrees to pay for any damage of any kind to the property from the security deposit.  You must pay a refundable security deposit of €400 along with your final balance regardless of the length of your stay. This is to guard against any possible damage / loss / excessive cleaning to the property that is incurred during your rental period.

Arrivals and Departures

The Villa will be available for occupancy from 4:00pm on the day or arrival and must be vacated by 10:00am (prompt on day of departure).

Special requests

If you have a special request that does not form part of the arrangements described on the website or in our brochure please inform us in writing. We will do our best to comply but cannot guarantee to do so and it will not form part of our contracted obligations. We regret that we are unable to advise prior to departure if special requests cannot be met. Special requests made after your booking date must be confirmed in writing within seven days of the request. We will make every effort to accommodate your request and inform the relevant supplier concerned. However we cannot guarantee that special requests will be provided and recommend that you repeat your request to the relevant supplier at the appropriate time.

Insurance

It is not a condition of booking that you must be covered by a travel insurance policy. However insurance is strongly recommended.

Passports, Visas & Health Requirements

It is your responsibility to ensure you have a valid passport and visa (if applicable). Holders of EU member states passports do not require visas to enter EU member states, nor are vaccinations required at the time of this publication. For all non-EU passport holders you must check passport and visa requirements with the Embassy or Consulate of the country (ies) to or through which you are intending to travel. Requirements may change and you must check the up to date position in good time before departure. For European holidays you should obtain a completed and issued form EHIC prior to departure. It is your responsibility to ensure that you are in possession of all necessary travel and health documents before departure. We regret we cannot accept any liability if you are refused entry onto any transport or into any country due to failure on your part to carry correct documentation. If failure to have any necessary travel or other documents results to fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us accordingly. This includes not being able to travel due to a mislaid, damaged or lost passport.

Limits on VIP Greek Villas Responsibility

VIP Greek Villas Ltd and/or its subsidiaries and agents act only as an agent for Villas, restaurants, airlines, bus companies, ship lines, owners or contractors providing accommodations, transportation providers, or other service providers ("suppliers").

By acceptance of receipts, the tour member or customized trip recipient agrees that VIP Greek Villas assumes no liability for any loss, injury or damage to a person or property, or otherwise any connection with any accommodations, transportation, or other service, resulting directly or indirectly from any acts of co-travellers, suppliers, nature, or dangers, delays, cancellations, and incidents related to the sea or weather conditions, health related problems before, after, or during the tour, fire, breakdown in machinery or equipment, acts of government or other authorities, de jure or de facto, wars, whether declared or not, hostilities, civil disturbances, terrorist attacks, strikes, riots, thefts, pilferage, epidemics, quarantines, medical or custom regulations, defaults, delays or cancellations or changes in itinerary or schedules, or from any causes beyond the control of VIP Greek Villas or for loss or damage resulting from insufficient, or improperly issued passports, visas or other documents, and that VIP Greek Villas assumes no liability sustained or incurred by a tour member as a result of any foreign causes and is not liable for defaults or breach of contract of those persons, suppliers, or companies not directly under the control of VIP Greek Villas.

VIP Greek Villas shall not be responsible for suppliers' failure to comply with any laws such as the Americans with Disabilities Act (ADA), or any intentional or negligent actions or omissions on the part of such suppliers. VIP Greek Villas reserves the right to substitute Villas with best available alternatives and make any changes in the itinerary where deemed necessary or caused by airline or ferry schedules, or other reasons.

VIP Greek Villas reserves the right to cancel or reconfigure a tour if no more than 6 tour members are participating. In instances when the tour is cancelled by VIP Greek Villas, we will provide a full refund, or a customized trip alternative. Land transportation is provided in accordance with the itinerary by private bus, minibus, or licensed cars, depending on the itinerary and the size of the group. By embarking on his/her travel, the traveller voluntarily assumes all risks involved in such travel, whether expected or unexpected.

Code of Conduct

All clients undertake to behave with propriety and in such a manner as in no way to cause or be likely to cause damage, distress danger or annoyance to other clients, property and/or any third party. The contract of any client in breach of this clause will be terminated and neither we nor the providers of the services in question will have any further contractual obligations to you.

If you have a complaint

If you have cause for complaint whilst on holiday or travelling to your destination, this must be brought to the attention of your representative or relevant supplier immediately so that action can be taken at the time to rectify the problem. Should the representative/ local agent/ supplier or villa management company be unable to resolve the matter, details of the complaint must be notified to VIP Greek Villa Holidays in writing within 28 days of the end of your holiday. Any claims received outside this period or these not reported on holiday cannot be considered as if you do not tell us about your complaint promptly, it may prove difficult to investigate or rectify your complaint.

Data Protection

VIP will not supply any personal client information to any third party excepting that, which is required by a supplier to process your booking.
